While sharing information and files with your team members in email is easy to do, workspaces simplify team collaboration directly in your WordPress website. Using workspaces also increases employee/customer engagement with your business, bringing back to your website to see your products and services.
Access team workspaces when you login to your account. Administrators can login from WP-Admin and users can login from the front-end by clicking Login button. Here is a screenshot of a demo Home Page with the newsfeed. You can see the Login in the upper right, for Twenty Sixteen theme in WordPress.
Creating and sharing a workspace
To create a workspace first select the activity from the Add Page list.
For example, select Announcement to get the workspace headline/title.
Add a description in the headline field and click Create Draft. Your workspace is saved as a draft. Drafts are private and viewable by you until you publish them.
Sharing Content, files, comments on the workspace
All workspaces have 3 sections for organizing relevant content – Notes, Files and Folders, Discussion and Replies
Edit a note
Click the edit button to open the text editor. It is Tiny MCE Editor. By adding a note, you give your team the background for what you are doing in the workspace. When you share files here, your team members will also view the workspace notes and comments too.

Save to display your notes in the section.
Adding folders – Click New Folder>Enter Folder Name and click Create button
Click Add Files>Select Folder> Drop files to upload or click to browse then click Upload
Move files in folders
Checkbox next to File enables File Action menu. Click the checkbox then select File Action>Move>Folder Name
How shared files and editing works
Shared files can be downloaded for viewing and editing. Upload the file with same name and you will see a history of file changes.
Click Versions to see file version history
Tip: Others can share and edit your workspace if they are internal team members. The workspace cannot be shared more widely with people who are not invited to your team account.
Creating a private message with a link to your workspace
When the workspace is ready to share then Publish it. Subscribers are notified about the new announcement.
Take a Look
To create a private message to a team member about that workspace go to that workspace and click Take a Look.
Send and the message is delivered as a notification in email and appears in the Main Menu>Messages link.
